What are SPF & DKIM?

Simply put, SPF (Sender Policy Framework) and DKIM (DomainKeys Identified Mail) are tools that help prove your emails are legitimate, thus preventing them from being marked as spam.

SPF specifies which servers are authorized to send emails on behalf of your domain.

DKIM lets you add a digital signature to your emails, confirming they originated from your domain and remained unaltered in transit.

How to set up your SPF record

Step 1: List your Email Service Providers

|| Very important: your SPF record has to cover all the email service providers used to send emails from your domain.

How to connect a Gmail / Google Workspace account to MailReach with an App Password

Summary

First you have to turn on the 2-Step Verification in your Google account.
Then we'll make sure that IMAP is enabled.
Once 2-Step Verification is ON and IMAP enabled, we'll guide you to create an App Password (a password dedicated to MailReach).
And that's it, you'll then be able to connect your inbox to MailReach.

Login to the Google account, click on the Avatar in the top right corner and then click on Manage your Google account.

In the navigation panel, select Security. Scroll down a bit, under Signing in to Google, click on 2-Step Verification and then Get started.

First, relax. It's a classic and can happen frequently, especially if you send cold email campaigns.

Google Workspace has automatic rules that auto suspend an email account if it's considered at risk of sending spam or being compromised.

Here are the top reasons of having your User suspended by Google :

The user receives too many spam complaints from other Google users
The user sends too many emails per day
The user's account is suspected to have been compromised

Additional factors that increase the risk of having your user suspended :

Accessing the user's account from multiple different locations and/or IPs
Using insecure third party apps to control the user's account

||| ⚠️ This article is about restoring the reputation of a USED email address / domain that has sent email campaigns in the past. It's NOT ABOUT new email addresses / domains that don't have any history (these have to be warmed normally). ⚠️

Restoring a damaged sender reputation is possible in 90% of the cases but in some cases, it can be too long to see improvements.
The time needed to fix a damaged reputation is impossible to predict. It depends the level of damage.
The more warming emails are sent from your domain, the faster it improves. It means you can speed up the process by warming multiple inboxes of the domain you need to heal.
To help restoring the reputation, you have to stop sending campaigns. In all cases, continuing to send emails from this domain is a waste since a big part is already landing in spam.
A damaged reputation is the result of bad sending practices on your domain and/or sending IP (for SMTP services). You need to make changes to your practices otherwise you'll face the same problem again. MailReach is an effective boost but it can't magically fix bad sending practices.

MailReach is initializing to launch conversations with relevant email accounts to start warming your email address.
It usually takes between 5 seconds and 1 hour to see the first interaction (first warming email sent or first received). That's normal, don't worry.
MailReach automatically creates a folder named "To Follow" in your inbox. You should see it if you're on Gmail / G Workspace or Office 365 / Outlook. Each warming email (sent and received) will be stored in that folder.
MailReach automatically hides 99% the warming emails received after several seconds to prevent cluttering your inbox. For several reasons out of MailReach's control, some emails can't be automatically hidden (automatic replies for example). How to fix email configuration problems

Your email address warmed on MailReach has been detected to have a configuration problem.

As it's on your end, MailReach can't solve it for you but we'll guide you to solve that ASAP.

The symptom is that your email has been detected as not reachable, it has generated at least one error message / a bounce . In other words, when other mailboxes try to send an email to your address, the email bounces back with an error.

This address is not able to receive inbound emails: no replies, limited conversations, not enough warming emails are sent - it reduces the power of MailReach and prevents you from receiving any email.

In most cases it's because of your MX records being misconfigured or the inbox being disabled or suspended.

|| In less than 10% of the cases, it can be a false positive alert because of the type of email bounces detected by MailReach. In all cases, please follow the steps below.

Step 1 - From a different inbox, send a test email to the email address that has the issue.

From a different mailbox (your personal one for example), send a test email to the email address that has the configuration problem
Wait 3 minutes max to make sure the email has enough time to land.

Scenario A : your email successfully landed in the inbox affected by the issue.
